Microsoft Outlook Add-In for Document Management

Since email is critical to the e-discovery process and communications between in-house/outside counsel, it is important to retain files or attachments that are related to matters (e.g., pending litigation) or that will help the legal complete their work.

Legal departments that already use Microsoft Outlook can take advantage of this add-in to move email attachments directly into Unity without having to leave their inbox.

NOTE: The Unity Document Management System (DMS) and MS Outlook add-in are not enabled by default. Contact your Onit representative for assistance.

How it Works

Enabling the Outlook Add-in prompts Unity to ingest attachments along with a copy of the email message. In addition to making documents easily accessible, this is a quick way for users to simplify tasks that usually require time saving, looking for, and uploading matter files. Any attachments pulled into Unity will automatically be saved in the email folder of the individual matter.

Important Considerations

Before moving forward, consider the following about the Outlook Add-in:

  • Grants access to data in emails being viewed but not to content in unread messages.
  • Attachments/messages saved in a matter's email folder do not have version control.
  • Files saved in a matter's email folder are searchable by other users with access to the matter.
  • Once the email folder appears in a matter, it cannot be removed or deleted.

Installation

To use this feature, the Outlook Add-in must first be installed per the steps below. Depending on your company's setup, this can be completed by individual users or your company's IT department.

1. Go to the Office Store on Outlook.com.

2. Click Add a custom add-in and select Add from URL...

3. Enter the URL provided by Onit and click OK.

4. Click Install from the window when prompted.

The installation may take a few moments to finish. You will receive a confirmation message when completed.
