General File Sharing

Onit's new General File Sharing capability within Billing Point enables clients and vendors to exchange key operational documents within the system. With this new functionality, both clients and vendors can upload, review, and maintain visibility into shared documents tied to their business relationship.

Heres how the General File Sharing feature works on the vendor (BillingPoint) side:

Using General File Sharing

Within BillingPoint, click on the Client Settings menu option and then on Files. You’ll see three options under the Files menu: 

  • Billing Guidelines 
  • Other Client Files 
  • Vendor Shared Files 

Vendor Shared Files

Under the Vendor Shared Files menu, you can upload files to share with the client. You'll see the notation of Documents Shared by Us in the upper left-hand corner of the screen.

The main screen will display the Type of file, the File Name, a Description, the Category, the Label, the Date Uploaded, the name of the person it was Uploaded By, the Size, and an Action menu.

Click on the up/down arrows next to any column to sort by that column. Click on the blue link under each File Name to download the file. You can also bulk download the files using the white boxes next to each file (click the top box to select all). Use the Search bar to search for a specific file.

Under the Action menu, you can Edit the files, Replace them, or Delete them.

Click on Upload Files to upload a new file to the system.

After clicking on Upload Files, you'll see this screen. Click Select Files or drag and drop the file(s), then click Next to proceed or Back to cancel.

From there, fill out the Category and Label for the file from the drop-down menus and fill in a Description. You can also hit the Trash button (trash can) to remove a file.

Click Upload Files to upload to the system.

NOTE: The Category and Label options are adjusted in the client settings; contact your Onit representative to adjust.

You'll see the Files uploaded successfully message on the main screen.

Other Client Files

Under the Other Client Files menu, you can view files shared by the client. You'll see the notation of Documents Shared With Us in the upper left-hand corner of the screen.

The main screen will display the Type of file, the File Name, a Description, the Category, the Label, the Date Uploaded, the name of the person it was Uploaded By, and the Size.

Click on the up/down arrows next to any column to sort by that column. Click on the blue link under each File Name to download the file. You can also bulk-download the files using the white boxes next to each file (click the top box to select all). Use the Search bar to search for a specific file.

Billing Guidelines

Under Billing Guidelines, you'll be able to preview or download the guidelines uploaded by the client.

The main screen will display the Document Name, Document Type, Date Last Updated, Name, and the Actions menu. Click on Preview or Download under the Actions menu to view the guidelines.

Security Note: 

  • ELM User Permissions: Permissions inherited from the vendor record control which client users can upload, view, or download files.
  • Vendor User Permissions: Users with access to invoice the client will have access to upload, view, or download files.

Frequently Asked Questions

What is the limit on bulk upload?

There is no limit on the number of files loaded at once, but the default file size limit is 25 MB.

Is it required to fill out a category and label for each file?

Category and label are NOT required.

Can we add to or edit the Category and Label dropdown menus?

Yes - the options in those fields are completely controlled by the client and managed in lists.

We already have documents available in Onit matters. Does the change relate to how we receive documents and how they are posted by our vendors and us?

This does not replace or interact with matter documents; matter documents are currently internal to client users only (there is no sharing with vendors, and vendors cannot share with the client). This is meant for general file sharing between vendors and clients. Access is via the vendor record in ELM. This feature is primarily for sharing general agreements between the parties.

Matter document updates/sharing will come later in 2026.

Is there a mass vendor communication, or only vendor-by-vendor at this time?

Only single vendor right now.

Are there any notifications sent if the vendor uploads a file to "Vendor Documents"?

There are no notifications for this feature, as it's meant for more general reference-type documents.

What types of documents can be uploaded?

General File Sharing supports PDF, DOC, DOCX, XLS, XLSX, TIFF, GIF, JPG, JPEG, PNG, BMP, RTF, TXT, and XML files.
