As part of the Legal Holds Management 3.7 release, we have introduced some key features to provide more options for Surveys and better customization of the survey workflow.
New Features
Date Questions
- Provide Survey Questions with Date Responses
- OnitX Legal Holds Management now provides a new way to capture a date as a response to a survey question.
- On the Survey Builder, users can now use the new Date Question Type to provide a question with a date response.
- Custodians answering the survey can use the date picker or enter the date in manually in the proper date format.
- Date responses will be validated to ensure they are not less than 01/01/1901 or more than 12/31/2099.

Date Range Questions
- Provide Survey Questions with Date Range Responses
- OnitX Legal Holds Management now provides a new way to capture a date range as a response to a survey question.
- On the Survey Builder, users can now use the new Date Range Question Type to provide a question with a date range response.
- Custodians answering the survey can use the date picker or enter the date in manually in the proper date format for a start date and end date to the range.
- Date responses will be validated to ensure they are not less than 01/01/1901 or more than 12/31/2099 and that the end date is not less than the start date.
- Date and Date Range Question Types can be used as a conditional question but they can not be the parent of conditional questions.
- On the Survey Response tab, these new date values are captured in different fields.
- The Answer field contains any dates entered in a text format so that all values in the Answer field are in the same format.
- The Answer Date field contains the responses to any Date question type in the proper date format so it can be sorted in excel exports as needed.
- The Answer Start Date field contains the first response to any Date Range question type in the proper date format so it can be sorted in excel exports as needed.
- The Answer End Date field contains the second response to any Date Range question type in the proper date format so it can be sorted in excel exports as needed.
Usability Enhancements
Survey Text Customization
- Customize the Survey Response Messages for Custodians
- On the General tab of the Survey, users can now update the fields in the Survey Response Message Settings.
- This allows each survey to have different response text which allows surveys to be fully provided in foreign languages or with different instructions.
- The Save and Close Message is used to instruct Custodians to return to complete the survey after saving.
- The Submit Confirmation Message is used to confirm that the Custodian is done with the survey before submitting.
- The Post Submission Highlight Title is the bold title portion of the submission screen thanking the Custodian for their submission.
- The Post Submission Highlight Text is the rest of the text of the submission screen providing the Custodian with details about their submission.
- The Post Submission Message is what is displayed when a Custodian returns to a survey they have already completed.
- On the General tab of the Survey, users can now update the fields in the Survey Response Message Settings.
Legal Hold Reports Updated
- View Hold Reason and Reason for Release on Legal Hold Reports
- Users can now view the Hold Reason or Reason for Release for any Custodian in the Legal Hold Report.
Template Logging
- Improved History Logs for Templates
- When changes are made to templates, the updates will be captured in a way that easily shows what was changed for each field in the View History section of the More Actions menu.
Issues Resolved
- The filter in the acknowledgement reminder daily schedule has been updated to be triggered if the reminder date is less than or equal to today, so that if a reminder is ever missed it will be resent on the next day.
- Custodian List values will now always be alphabetized by the Custodians first name.
- Fields to Watch have been added to the Settings app to improve performance.
- The Draft Release Notification option is now an optional setting that can be enabled or disabled in Hold Type Settings.
- The invalid warning has been removed when using the Send Hold Reminder option on the Custodian tab.
- Silent Custodians are no longer added as participants so they cannot find any Silent Holds they are on.
- When Mark as Silent is used to make a Custodian Silent, they will be removed as a Participant.
- When Mark as Unsilent is used to make a Silent Custodian able to receive notifications, they will be added as a Participant.
- If a Custodian only fills in part of a Date value in a Date or Date Range question, their partial response will not be captured.
- If a reminder is missed initially and resent the next day, it will not update the schedule of the following reminders so they might appear to come sooner than the expected interval.
- Sometimes when publishing a new or revised survey, it refreshes twice before loading.
