As part of the Legal Hold 2.1 release, we have introduced some key features to help simplify the Legal Hold notification process and improve reporting and custodian data management.

New Features
Legal Hold Custodian Digest
- Admin users can now enable Custodian Hold Digests so that custodians receive a summary digest email which contains all their outstanding notifications to avoid flooding their mailbox with reminders for multiple holds. They can choose to disable all standard reminder notifications or allow them to continue to be sent in addition to the digest. They can also choose to include all Holds in the Digest or just those that still have not been acknowledged.
- Admin users can select to have the Digest sent Daily, Weekly, Monthly, or Quarterly.
- For the Weekly Digest Frequency, users must select the day of the week for the Digest to be sent.
- For the Monthly Digest Frequency, users must select the day of the month for the Digest to be sent.
- For the Quarterly Digest Frequency, users must select the month of the quarter and the day of the month for the Digest to be sent.
- The Custodian Digest email provides the Hold Name, Status, Start Date, Date Acknowledged and a link to Acknowledge any hold not previously acknowledged or review a previous acknowledgement.
- The Custodian Digest sent date will be tracked on the Hold Digest Sent Date widget on the Legal Holds dashboard
Employee Change App
- Employee Change App
- Employee changes in the People app are now tracked intuitively so managers can keep track of changes that might affect the Custodians that are involved in an active Legal Hold.
- Employee Change Widget
- Recent employee changes are reflected on the Employee Change Widget on the Legal Hold Dashboard along with a count of all their active holds that might need adjustments.
- When an employees name or email address has changed, clicking on the employee link from the widget will allow the user to update the appropriate Legal Holds with the new information by clicking the Update Custodian Name or Update Email Address button on the right.
- Employee Change Notification Email
- LH Admin users can now Enable Employment Change Notification emails so that LH administrators can receive a summary email of any Employee changes that impact their Legal Holds. These change notification emails can be sent Daily, Weekly, Monthly, or Quarterly like the Custodian Digest settings.
- The Employee Change Notification Email provides the custodian's name and a tracking of the Employment Status and Department Changes. The Previous Status, Current Status, Previous Department, and Current Department are all listed as well as the Change Date and number of Active Holds affected for each.
Usability Enhancements
- Users can now choose to include a Custodian List as part of their Legal Hold Notification.
- When Legal Holds are awaiting approval, the Legal Hold Guide will now display that status under the Draft Notice Step.
- Administrative users can now see the relationship between the Templates and the Related Hold Types where they are used
- Users will also be warned if they attempt to revise a Template that is already in use for a Related Hold Type
- Users can now see when Custodians that have been added to a Legal Hold do not match any Employee records or duplicate other records within the Preview Custodian tab.
- Administrators can now save a Survey from one Legal Hold as a Template for future use.
- The Legal Hold Reports page now features more intuitive ways to edit, rerun, and print the reports.
- The Custodians on Hold report now shows Last Escalation Sent Date and Currently Escalated to Manager if a Custodian has ignored their Notification long enough to have it escalated to their manager.
Known Defects
- Legal Hold Reports that have specific Correspondence Types selected instead of All Correspondence Types are not showing those Correspondences.
- The refresh button on Legal Hold Reports has to be pressed twice to refresh the report.
- When user saves a survey as a template, the copies count of the original survey template does not update.
- When the matter manager of the Legal Hold is changed after the Legal Hold is created from Add Participant button, and if the user chooses to notify the matter manager when initial notices are sent the notification will be sent to the newly added matter manager, but the Escalation Notices still are sent to the original matter manager.
- When the Custodians name and email address are both changed at the same time, a separate button appears to update the Legal Holds for both values. When either of the buttons are selected, the other button disappears.
- When the Custodians email address is changed and the 'Update Custodian Email' button is selected, the “Custodian Name” field which is a combination of Name and Email will still show the old email address as part of the field.
