OnitX Legal Holds Management 3.3 Release Notes

As part of the Legal Holds Management 3.3 release, we have introduced some key features to allow more flexibility within the Legal Hold Creation, Approval, and Survey Creation workflows.

What's New?

New Features

Revise Silent Holds and Custodians

  • Be able to change a Custodians notification status
    • Users can now Revise Holds to change a Silent Custodian to now receive notifications or vice versa.
      • When selecting the relabeled "Add or Revise Custodians" option under Revise Hold, the user will now see all existing custodians available on the new Revise Custodians tab.
      • On the Revise Custodians tab, users can select "Mark As Not Silent" to change custodians that were previously silent to now receive notifications and can select "Mark As Silent" to change custodians that previously received notifications to now be silent.  
      • With the addition of the new Revise Custodian tab, all tabs within Legal Holds are now featured in a Carousel view that allows the user to scroll through the available tabs rather than crowding them into one screen.
  • Silent Holds can also now be revised so that Custodians can be updated.  
    • When a user selects "Revise Hold" on a Silent Hold, only the option to "Add or Revise Custodians" will be present until one of the Custodians is designated as Not Silent.

Usability Enhancements

Simplifying the Approval Step for Legal Hold Notifications

  • Approve a Legal Hold Notification in one step
    • Once a matter manager or attorney has approved the Legal Hold Notification, it is typically no longer necessary to complete the "Review and Send" step as well.
      • This setting can be enabled at the Legal Hold Type level  in the Notice Settings with the checkbox "Send Notifications once Approved".
      • If enabled, the approval of the notification qualifies as the final review and the notification will be sent out automatically.

Survey Enhancements

  • Decide whether Custodians can save their progress on a Survey
    • Legal Hold Administrators can now determine if Custodians are allowed to Save Progress on their Surveys.
      • This setting can be enabled in the Questionnaire Preferences section of the Legal Holds Settings.
      • If enabled, the Custodian will see a "Save and Close" button on every page of their survey with the "Submit" button only present on the final page.

Improved Logging and Messaging

  • Added a new "Acknowledgement Created" Phase to display when Notification is in queue to be sent but has not sent out yet.  This prevents confusion when Holds previously spent a lot of time in the "Custodians Created" Phase before changing to "Custodians Notified".
  • Preservation Logs now display consistent wording across all types of Preservation in Place functions.
  • Audit Logs for user actions are now more easily readable.

Known Defects

  • Users may have to manually hard refresh the page after selecting  “Edit Survey Response” button in order to edit their previous survey responses.
  • If custodians or matters are manually removed from Google Vault prior to releasing the custodian from the legal hold, then the preservations log will indicate the custodians failed to be released because the custodian is not found in Google Vault.
  • In some very rare cases when 1000s of custodians are imported from a spreadsheet, duplicate Custodians are imported.  These can be removed in the Preview Custodian tab.
  • Whenever a page refresh occurs before the record has finished populating for an action, the following error appears: "An error has occurred fetching atom details."
