Use the Staff menu to view, edit, and add staff.
The main Staff page allows you to see a directory of staff and access their individual pages. Use the Filter to search by Location and Keyword; you can also select Lawyers without assigned locations by using the checkbox. Click Clear to clear the filter, Export to export the results, and Filter to launch the filter.
The main staff directory contains:
- The staff member's Name; click the link on the name to go to their profile page. This field can also contain a live email link, phone number, and address.
- Classification
- Matters/Function; click the link to go to that matter page
- Options, including Settings, Block, and Delete
If you Delete a user, you'll get this message. Click No, do not delete or Yes, delete.
If you Block a user, you'll get this message. Click Yes to block or No to back out.
Clicking on Settings will bring you to that part of the staff profile.
Staff Profile
Clicking on a staff member's name in the directory will direct you to their Staff Profile. There are four tabs in the profile:
- Details
- Time entries
- Legal analytics
- Settings
We'll go through all four here.
Details
The Details tab contains basic information about the staff member, including:
- Email (click on the link to email the contact), Time zone, Language, Law firm, and Approved hourly rate
- Responsible staff members
Time Entries
Use the Time Entries section to view and edit the time entries as well as time entry analytics.
In the upper-left corner, the Filter panel will allow you to filter the displayed time entries by:
- Time Period (drop-down menu)
- Keyword
- Task (shift-click to select / command-shift-click to deselect)
- Status (drop-down menu)
Click Export to export the selected data, Clear to remove the search filter options, or Filter to filter the results. Use the Star option at the top to save the filter or the Up arrow to minimize the filter panel.
You can also click on Additional Filter Settings to add:
- Matters (with the checkbox option to Include all subordinated matters)
- Checkboxes to include or leave out Times with open questions, Times with answered questions, and/or Times with notes
- Order by and Order direction (drop-down menus)
The Time Entries analytics panel provides key insights and analytics into the entries. Click the Up arrow to minimize the filter panel.
The main Details panel will show key details of the time entries, including:
- Details (Date, Entered, Matter, Client, Matter)
- Duration/Amount (Duration, Amount, Monthly Rate, Tax)
- Narrative (Activity code, Description, Tax type)
- Options (Edit, Trash, Reassign Time Entry)
Note that at the top of the screen, you have the option to Trash or Transfer all time entries.
If you Edit the time entry, this screen will appear. You can edit the Recorded time, Tax percentage, Tax, VAT type, Categories, and Narrative. You can also click on Divide Time to include other activities you've completed in the course of recorded activity time; use Undo to undo the time divide option. Click Send to submit the change.
If you choose to Transfer time entry, this screen will appear. You'll have to choose the Target Matter from the Client drop-down menu. Click Cancel to back out or Reassign to transfer.
If you choose to Delete the entry, this screen will appear. Click Yes to delete or No to back out.
Note that if you want to Transfer all time entries, you'll get this alert. You can only transfer 25 time entries (at most) in one operation.
Legal Analytics
Use the Legal Analytics section to display key analytics related to the client.
Within the Filter section, you can specify the display to show:
- Time period (drop-down menu)
- Clients
- Matters
Click on Show additional filter settings to sort by Task (shift-click or command-shift click to select/deselect). Use the Star button to save the filter.
Click Reset to reset the filter, Clear to remove your selections, or Filter to filter.
The selected analytics will be displayed at the bottom of the page.
Settings
Use the Settings tab to edit basic settings for the staff member.
Under Personal information, you can edit:
- Salutation and title (drop-down menu)
- Last name, First name, and Email
- Phone, Internal Lawyer ID, and Classification (drop-down menu)
- Experience in years, Location, and Date Format (drop-down menu)
- Time zone
- Language (drop-down menu)
Click Save to save the personal information.
Under Matter-related information, you can edit:
- Matter
- Function (drop-down menu)
- Hourly rates
- Matter currency (drop-down menu)
You can also check the box to indicate whether they're a contact person or not. Click Add to add the changes.
Under Responsible Staff Members you can view and edit their responsible staff members. You can see their:
- Matters
- Clients
- Function
- Hourly rates
- Contact person
- Options (edit, block, delete)
If you click Edit, this screen will appear. You can adjust the Function (drop-down menu), Hourly rates, Matter currency (drop-down menu), and use the check box to mark if they are a Contact Person or not. Click Cancel to cancel or Submit to submit.
If you click Block, this screen will appear. Click Yes to block or No to back out.
If you click Delete, this screen will appear. Click Yes to delete or No to back out.
Invite Staff
Use the Invite Staff option to add staff members.
Under Personal information, you can edit:
- Salutation and title (drop-down menu)
- Last name, First name, and Email
- Phone, Internal Lawyer ID, and Classification (drop-down menu)
- Experience in years, Location, and Date Format (drop-down menu)
- Time zone
- Language (drop-down menu)
Click Save to save the personal information.

- Hourly rates
- Matter currency (drop-down menu)
You can also check the box to indicate whether they're a contact person or not. Click Add to add the changes. Click Invite Staff to invite.
Import Timekeepers
Use the Import Timekeepers option to bring in an external timekeeper sheet. Click on Choose File to find the file and Import to bring it in. The Timekeeper Sheet Definition provides a list of timekeeper fields; use the Timekeeper Import File Example to download a blank .XLSX file to fill in.
Import Timekeepers with Hourly Rates
Use the Import Timekeepers option to bring in an external timekeeper sheet with hourly rates for clients. Click Choose File to locate the file, and then click Import to bring it in. Use the "Clients" drop-down menu to select the client. The Timekeeper Sheet Definition provides a list of timekeeper fields; use the Timekeeper Import File Example to download a blank .XLSX file to fill in.
Release Status of the Hourly Rates
Use the Release Status of the Hourly Rates option to view the status of hourly rates. Use the Filter to filter by Clients (drop-down menu), Lawyer, Classification (drop-down menu), Hourly rates status (drop-down menu), Valid From/Until, and Comment.
Click Clear to clear your selection or Filter to filter.
The main section details the:
- Lawyer name
- Classification
- Clients
- New hourly rate
- Old hourly rate
- Valid from/until
- Status
- Options (Hourly rate history)
If you click on Hourly Rate History, the history screen will appear. Click Close to close the screen.
