Working With Invoices

Use the Invoices menu to view and record invoices.

Invoices/Credit Notes

Use the Invoices/Credit Notes section to view and edit existing invoices and credit notes.

In the upper-left corner, the Filter panel will allow you to filter the displayed invoices by:

  • Invoice date/credit note date (drop-down menu)
  • Time period (drop-down menu)
  • Invoice/credit note number
  • Keyword
  • Amount from and to
  • Clients
  • Matters (with the check-box option to Include all subordinated matters)
  • Status and Type (drop-down menus), with the check-box options to include Invoices with open questions, Invoices with answered questions, and/or Invoices with notes.
  • Order by and Order direction (drop-down menus)

Click Export to export the selected data, Clear to remove the search filter options, or Filter to filter the results. Use the Star option at the top to save the filter or the Up arrow to minimize the filter panel.

The Invoices analytics panel provides key insights and analytics into the invoices. Click the Up arrow to minimize the filter panel.

The main Invoices panel will show key details of the invoices, including:

  • ID
  • Recipient
  • Matter(s); click on the link matter to go to that page
  • Amount
  • Status
  • Options (Link to Invoices, Delete Invoice, Export Invoice, Download Invoice); you can also click the Down arrow to display more details.

Note that at the top of the screen, you have the option to expand/collapse the details in all on-screen entries. To the extreme left of the panel, you'll see an icon indicating the invoice status (waiting for review, cancelled, or credit note).

If you click the Link Invoice option, this screen will appear. You can choose to Show active invoices with the check box and type in the invoice number in the text box. Click Submit to link or Cancel to back out.

If you click the Delete option, this screen will appear. You can choose from No, do not cancel, or Yes, cancel.

Clicking on Export and Download will export the invoices as .txt and .zip files.  

Record Invoice

Click on Record Invoice to add an invoice to the system. You'll have to fill out the:

  • Law firm name
  • Location (drop-down menu)
  • IBAN/Account Number, BIC/Swift, VAT ID, and Tax Number
  • Street/number, Address addition, P.O. box, and bank
  • ZIP code, City, State or region, and Country (drop-down menu)
  • PO number
  • Matters (with the check-box option to Include all subordinated matters or Only matters with cost
  • Invoice period from and to, and Invoice number and date
  • Fee, fee (tax-free), Expenses, and Expenses (tax-free)
  • Tax and Currency (drop-down menu)
  • Invoice description

You can also Upload the invoice as PDF. Fields with an asterisk are required.

Click Save to finalize the invoice.

Record Credit Note

Click on Record Credit Note to add a credit note to the system. You'll have to fill out the:

  • Law firm name
  • Location (drop-down menu)
  • IBAN/Account Number, BIC/Swift, VAT ID, and Tax Number
  • Street/number, Address addition, P.O. box, and bank
  • ZIP code, City, State or region, and Country (drop-down menu)
  • PO number
  • Matters (with the check-box option to Include all subordinated matters or Only matters with cost
  • Credit note number and credit note date
  • Currency (drop-down menu), Amount, and Tax
  • Credit note description

You can also Upload the invoice as PDF. Fields with an asterisk are required.

Click Save to finalize the invoice.

Data Import

Use Data Import to upload data files into the system. The default screen, File upload, will allow you to upload files. Click on Browse Files to browse and upload files; you can also use the Configuration options to select the Import mode, Delimiter, and Encloser from the drop-down menus.

Note that for invoices, the file names of CSV and PDF must be the same.

The bottom of the page contains Sample files and Specification files.

Click on Upload Protocol to view the upload protocols. Use the top Filter to filter by Upload time, Status (drop-down menu), Import type (drop-down menu), and Invoice number. Click Filter to filter or Clear to clear the filter selections.

The main panel screen will display the upload protocol Status, Upload Time, Import Type, Invoice Number, and Uploader name.

Under options, you can view the Status Message, Errors, and Download the file.
