The Onit Legal Holds dashboard is the home screen for Legal Holds. Here, you'll get a comprehensive, customizable snapshot view of all your Legal Holds in progress, along with critical breakdowns, statistics and other information.
NOTE: The Onit implementation team can adjust views, widgets, and features. Contact the team to set up your preferences.
On the dashboard, the four boxes at the top of the screen show you:
- The number of Open Holds (how many legal holds are active)
- The number of holds Pending Approval – anything where notification is pending approval, preventing it from being sent out
- The number of custodian holds Pending Acknowledgment
- The number of Custodial Holds – all the holds that have been created.
Click on See Details in any one of these boxes to get a further breakdown of these categories.
- The Holds by Recent Activity box provides a quick snapshot of holds that have been recently modified or had their phase changed – newly created holds, for example, or those moved from needing approval to being sent. Click on More to see more details and sorting options.
- The Acknowledgement % box provides a look at the custodian count and acknowledgment percentage of recent holds. Here, you can sort by recent date started, hold count, or acknowledgment percentage. Click on More for more details and sorting options.
- The Legal Holds by Type box provides a pie chart of your legal holds, broken down by type.
- The Active Holds by Matter Type provides a pie chart of your legal holds broken down by matter type.
- The Employee Change panel shows any changes made to an employee in the people app across eight different fields (name change, email change, employment status changes, manager and department changes, etc.) under the Value Change section, along with the name, change date and the employees active hold count. Click on More for more details and sorting options.
- Upcoming Escalations gives you a heads-up look at any hold escalations taking place soon; this is a valuable tool to alert individuals about their hold responsibilities before an escalation to their manager. Click on More for more details and sorting options.
NOTE: You can click on the menu under Upcoming Escalation Date to choose a specific date (or date range) to see what escalations are coming up in a specific date / period.
NOTE: By default, regular users will be able to see everything on the screen through the Upcoming Escalations section; admins will also have access to see the screens below.
- The Email Failures – Need Attention panel will show recent email failures that require action. Note that this will not reflect out-of-office messages or messaging forwards; this will only reflect emails that bounce back or could not be sent for whatever reason. Click on More for more details and sorting options.
- Hold Digest Sent Date shows you the recipients and sent dates for recent hold digests. You can click on Settings to tweak Hold Digest settings. Click on More for more details and sorting options.
- Preservation in Place Failures shows the recent preservation failures across the different types of systems and holds, along with other pertinent information and sorting options.
