Legal Hold Matters User Guide

Onit's Matters creation application within Legal Holds enables users to create matters right from the Legal Holds platform.

Here, we will take you step-by-step through the process of creating and modifying matters from the Legal Holds platform.

NOTE: Onit's Legal Holds platform also supports matters created from Onits overall ELM platform. If utilizing ELM Matter Management, matters should be created there instead of in Legal Holds. Matters created in ELM will still show up within the Legal Holds Matters application.

Creating a Matter

1. You can create a matter from about every screen on the Legal Holds software. Just click on the blue Plus sign in the upper-right-hand corner of the screen and then on New Matter.

2. The Create Matter screen will appear.

3. Fill in the Legal Hold Group ID. This is optional.

4. Enter a Matter Name. This is required.

5. Fill in a Matter Description. This is optional.

6. Select the Organizational Unit from the drop-down menu. This is optional.

7. Select the Area of Law from the drop-down menu. This is required.

8. Pick out the Matter Type from the drop-down menu. This is required. This changes based upon the Area of Law selected.

9. Select the Matter Manager from the drop-down menu. You'll pick from a list of email addresses from users given the Matter Manager role in the User application. This is required.

10. Write in the Outside Counsel email address. This is optional but will be used in the Legal Holds for this matter if present.

11. Select the Attorney from the drop-down menu. This pulls from the users given the Attorney role in the User application. This is optional but will be used in the Legal Holds for this matter if present.

12. Select the Paralegal from the drop-down menu. This pulls from the users given the Paralegal role in the User application. This is optional but will be used in the Legal Holds for this matter if present.

13. Click the Private checkbox if you want to keep this matter restricted to only those users with designated access to the matter.

14. Click Submit to create the Matter.

15. Click on the Matters application on the left-hand side of the Dashboard to view created matters.

16. On the Matters screen, you’ll see all active matters and pertinent information (like Matter Name, Last Action, Last Activity, and more).  

  • Click on the Select Fields and Filter options to adjust what you want to see on the screen or click on the View and Subview drop-down menus for more viewing options.  
  • Click on Restore View to go back to a prior view or Save View to save your customized view. 
  • Delete a matter by selecting the checkbox next to a matter on the far left, clicking the drop-down Actions menu in the upper-left corner, and clicking on Delete. Note that Legal Holds for the matter need to be deleted before deleting the matter. 

Click on a specific Matter Name to open that matter.  

17. On the Matter page, click on Edit to make any necessary changes to the matter.

18. You can also add important documents to the Matter by clicking on Add Document on the bottom of the page.

When you click on Add Document the Relate Document screen comes up. Click on Browse to find the needed file (or just drag it straight into the box), add a Description (if necessary) and click on Save to save the document or Cancel to back out.

19. On the right-hand side of the page you can view the Phase that the matter is in, create a New Legal Hold or Hold Report (both will automatically fill in with the name of the matter), or Replace the Matter Manager, Close the Matter, or View History from the More Actions drop-down menu.

On the lower right-hand side of the screen, you can Post a Comment, view recent Activity, and see the matter Participants.

20. Once a Legal Hold is added to a matter, you'll see a Legal Holds and Reports tab within the individual matter screen. You can click into either to see summaries or edit the Holds or Reports.
