Onit's Legal Hold Settings feature allows you to select vital settings for your entire Legal Hold platform.
Here, we will take you step-by-step through choosing your Legal Hold settings.
Using the Legal Hold Settings Feature
1. Click on Settings on the left-hand-side dashboard menu to access the Settings feature.
2. The Settings screen will appear. Click Edit on the bottom of the screen to modify the settings.
3. On Template Settings, you can choose if you want to:
- Allow Template Creation From Draft Notice. Click the box if you want to enable users to create templates from draft notices from within the Legal Hold. If enabled, a Save as New Template check box will appear on the Draft Notice screen.
- Require Approval for Templates. If you check this box, you will get a drop-down menu enabling you to select the Template Approver from a list of email addresses of users in the system. This will send the selected template approver a note requesting approval before the template goes into the system.
4. On Set Default Notice Templates, you can:
- Set a Default Regular Hold Template from the drop-down menu.
- Set a Default Full Release Template from the drop-down menu.
- Set a Default Partial Release Template from the drop-down menu.
- Set a Default Escalation Template from the drop-down menu.
- Set a Default Reminder Template from the drop-down menu.
- Set a Default Acknowledgement Reminder Template from the drop-down menu.
- Set a Default CC Template from the drop-down menu.
NOTE: These drop-down template options come from the Legal Hold Templates application; you can learn more about creating and editing these templates here.
Fill in your Default Proxy Text Message in the text box. This will be sent to any Proxy designated to receive notifications on behalf of Custodians. Note that the toolbar above the box features various formatting options similar to those found in the notification editor.
Pick out the Default CC List - Contacts Who Should be CC'd on all Notices from the drop-down menu. You can select as many contacts as necessary. Click on the X next to individual names to remove them from the list.
5. On the Questionnaire Preferences, you can:
- Click the check box if you want to allow the system to Auto save the survey when participants work on it rather than requiring them to save manually.
- Pick out the length of time (in minutes) for the auto save to occur when a respondent is working on a survey in the Auto Save Interval (Minutes) drop-down menu. You have the options of 3, 5, 10, 15, or 20 minutes.
- Click the check box if you want to Allow Custodians to Save Progress on Surveys. If enabled, the surveys will have a Save and Close button available to allow them to save their progress on longer surveys.
6. On System Settings, you can:
- Add any Internal Domains to the settings so that they will be treated as internal for the client organization. Insert them as a comma-separated list (onit.com, internal.onit.com, etc.)
- Click the check box if you want to Allow Custodians to Opt Out of Hold Notifications and Reminders.
7. On Silent Hold Settings you can click the check box if you want to Allow Preview of Silent Holds; this will enable designated people in the organization to preview a Silent Hold before it goes out to the custodians.
8. On Custodian Hold Settings you can choose to Enable Hold Digest; this allows you to enable emails to custodians summarizing the holds they are on. Here, you can also:
- Choose to Disable Standard Reminders so custodians do not also receive the standard hold reminders for each legal hold.
- Specify the Holds to Include in Digest - either All or just Not Acknowledged holds
- Specify the Digest Frequency – either Daily, Weekly, Monthly or Quarterly
NOTE: If you select the Weekly, Monthly, or Quarterly options, you will receive further drop-down options the Day of the Week for Weekly, the Day of the Month for Monthly, and the Month of the Quarter and Day of the Quarter for Quarterly.
These selections are required.

9. On Employment Change Notification Settings, you can enable email notifications that will send summaries of changes in employment for custodians. Here, you can also:
- Modify the Notification Frequency; you can choose from Daily, Weekly, Monthly or Quarterly
- Choose the Recipient(s) from the drop-down menu; you can click the X next to any selections to remove them from the list.
- Choose the Notification Type(s) from the drop-down menu; you can click the X next to any selections to remove them from the list.
NOTE: If you select the Weekly, Monthly, or Quarterly options, you will receive further drop-down options the Day of the Week for Weekly, the Day of the Month for Monthly, and the Month of the Quarter and Day of the Quarter for Quarterly.
These selections are required.

10. On Custodians on Hold Report Settings you can enable a report that summarizes details of custodians on a hold in a format matching the Custodians on Hold application. Here, you can also:
- Modify the Notification Frequency; you can choose from Daily, Weekly, Monthly or Quarterly
- Choose the Recipient(s) from the drop-down menu; you can click the X next to any selections to remove them from the list.
NOTE: If you select the Weekly, Monthly, or Quarterly options, you will receive further drop-down options the Day of the Week for Weekly, the Day of the Month for Monthly, and the Month of the Quarter and Day of the Quarter for Quarterly.
These selections are required.

11. On Google Vault Settings, click the checkbox if you would like to Enable Preservation in Google Vault. You'll get a green Connection with Google Vault succeeded message if it works.
NOTE: This box should only be checked if the connection to Google Vault has already been considered. Contact Onit Support if the connection is not set up.
12. On Microsoft Preservation Settings, you can:
- Select either Microsoft Litigation Hold or Microsoft Purview for a preservation option.
- Enable Preservation in Microsoft Purview (you’ll get a green Connection With Microsoft Purview succeeded message if it works) or Enable Preservation in Microsoft (you’ll get a Connection with Microsoft Exchange Online succeeded message if it works).
NOTE: These boxes should only be checked if the connections to Exchange or Purview are already configured. Contact Onit Support if the connection is not set up.
13. On Slack Preservation Settings, click the checkbox if you would like to Enable Preservation in Slack. You'll get a green Connection with Slack API succeeded message if it works.
NOTE: This box should only be checked if the connection to Slack API has already been configured. Please reach out to Onit Support if the connection has not been set up.
14. On Dropbox Preservation Settings, click the checkbox if you would like to Enable Dropbox Preservation. You'll get a Connection with Dropbox succeeded message if it works.
NOTE: This box should only be checked if the connection to Dropbox API has already been configured. Please reach out to Onit Support if the connection has not been set up.
15. Click Update to update settings or Cancel to leave the Settings page.
