OnitX CLM Apps Glossary
Some general things to know about working with our applications:
- Use these options at the top of the screen to customize the view to your liking.
- Use the View option to save, restore, and switch to different views for your purposes.
- On most applications, click on the blue Plus sign at the top of the screen and then on Launch to add information or content to the application.
NOTE: Not all of these applications will be included in your specific CLM environment. Contact an Onit specialist to learn more.
The CLM High Phases application shows the different high (primary) phases (In Authoring, In Approval, etc.) that a contract can be put into. Click on any of the phases to edit them individually; you can also click the check boxes next to the high phases and use the Actions drop-down menu to delete them if you role authorizes you to do so.
Click the blue Plus sign and Launch to create a new High Phase. You'll need to fill in the Name and the Position. Note that the CLM will build the contract phase widget with the lower position values displaying first; position values must be unique for each high phase (you can't have two in the 1 position, for example)
The CLM Phase Mapping application shows the different secondary phases (In Authoring, In Approval, etc.) that a contract can be put into. Click on any of the phases to edit them individually; you can also click the check boxes next to the high phases and use the Actions drop-down menu to delete them.
Click the blue Plus sign and Launch to create a new Phase. You'll need to fill in the Name and the High Phase it corresponds to. For example, "Activated" and "Amended" both tie into the "In Effect" phase.
Use the CLM Settings application to modify critical settings for the CLM platform. To begin, open the CLM Settings app and then on the CLM Settings link.
Click on the Edit button in order to make any changes to the settings.
Here, you can edit:
Naming and Display Standards - Provide naming details and check if you want to Allow name override for a Legal Service Request or Contract, and choose naming details for an Other Party Selection.
The Default User for Background Processes - Choose the Default User for Background Processes from the drop-down menu.
Under Document Generation, you can specify the Naming Convention, choose the File Name Character Limit, upload a Clause Archive (in .zip file format), and choose the DocGen URL from the drop-down menu
Under Approval Stamp, click the Use Approval Stamp box to deploy an approval stamp workflow to generated contracts.
Under Convert to PDF Settings, you can choose to enable the different types of document protection; choose from Cant Print, Can Modify, Can Copy, Can Add Notes, Can Fill Fields, and Can Assemble. You can also choose a Password if necessary.
Under Email Settings choose the Send for External Review Template from the drop-down menu.
Under External Review Settings choose the Document Return Method; you can choose either Intake Form or Email.
Under Signature Settings select the Internal Signer for Streamlined Contracts from the drop-down menu, click the checkbox if you want to Use Authorize Signers Only, and choose the Signature Format (DocuSign, AdobeSign, or Manual Sign) and click the checkbox if you want to Use Sender UI By Default. The Use Sender UI option allows users who prepare signature workflows to go directly to the e-sign method of preference to manage these transactions.
Under Workflow Defaults choose whether you want to use the Template Workflow, Other Party Workflow, and/or Legal Entity Workflow. These options enable predefined workflows for CLM processes.
Select the Document Compare Defaults. You can choose from many different Comparison Settings, the level you'd like to Show Changes at (Word or Character Level), how you should Save as version of (Original or Revised Document), and what type of version to save As a (Minor or Major Version).
On the Risk Defintion section, choose the Low Risk Upper Bound and High Risk Lower Bound ranges to define Low and High risk levels. These bounds are integrated with Onit's ReviewAI service.
The Contract Request application is the intake method non-Legal users can utilize for initiating a new contract request.
Click the blue Plus sign and Launch to create a Contract Record. Click here to go to the Contract Record creation section.
The Contract Tasks application allows you to see the different contract tasks, along with their type, task types, description, and other information. Click on any of the contract tasks to edit them individually.
Click the blue Plus sign and Launch to create a Contract Task. You'll have to fill out the Task Type (from the drop-down menu), the Task, a Description, the Assignee (e-mail address), and a Due Date. Click Submit Task to finalize the task.
The Contract Template Types application allows you to create mappings between contract types and templates. Click on any of the contract templates to edit them individually. Use the check boxes and the drop-down Actions menu to delete any templates.
Click the blue Plus sign and Launch to create a Contract Template. You'll have to fill out:
- The Region (from a drop-down menu)
- The Contract Type (from a drop-down menu)
- The Document Generation Format (either .docx or .pdf)
- The Password
- Whether you want to Include a Watermark
- Whether you want to enable Auto-Generate
- Whether you want to enable the Streamlined function (sending directly to the other party for a signature)
- Whether you want to Include Template Comments
- Any Notes
Click Submit to finalize.
Use the Contract Types application to see all of the different contract types (Master Purchasing Agreement, Finance, etc.), along with their display name, description and other information. Click on any of the contract types to edit them individually.
Click the blue Plus sign and Launch to create a Contract Type. You'll have to fill out the Contract Type, Display Name, and Description. Click Submit to finalize.
Use the Contract Types to AI Checklists application to map contract types to ReviewAI checklists, along with observing days since activity, contract type, paper type and other information. Click on any of the contract types to AI checklists to edit them individually.
Click the blue Plus sign and Launch to create a Contract Type to AI Checklist. You'll have to select the Contract Type from a drop down menu, choose the Paper Type (Our Paper or Third Party Paper), and the Checklist from the drop-down menu.
Open the Document app to see all of the different documents uploaded for contracts, along with their names, the document type, their lock statuses, and more. Use the check boxes and the drop-down Actions menu to Check-out or Undo Check-out documents and Delete Documents. Click on any of the documents to edit them individually.
Clicking Launch on the blue Plus menu will allow you to add a document. You'll have to upload the Original Attachment, select the Document Type from the drop-down menu, provide any Comments, and use the checkbox to mark the document Private (if necessary).
Open the Document Check-In app to see a log of all the different document check-ins along with their names, the document type and more.
Clicking Launch on the blue Plus menu will allow you to add a document. You'll have to check in the Document from the drop-down menu, upload the Document Attachment, choose if it is a Major Version or a Minor Version, and provide any Comments. Click Submit to finalize.
Open the Document Compare app to see a log of all the different documents uploaded for comparison and associated metadata, along with the Last Actor on the documents and other information.
Clicking Launch on the blue Plus menu will allow you to select documents for comparison. Click here to learn more about this process.
The Document Types app is a transaction list provider showing all types of metadata which can be assigned to documents in CLM, along with the Description and other information. Use the check boxes and the drop-down Actions menu to Delete a document type. Click on any of the document types to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create a new Document Type. You'll have to detail the Document Type and a Description, if needed. Click Submit to finalize.
Open the Document Version app to see all of the different document version changes, along with any Comments, the Last Actor, and other information. Click on any of the document versions to edit them individually.
Clicking Launch on the blue Plus menu will allow you to update a document. You'll have to select the Document from the drop-down menu, upload a Document Attachment, select whether it's a Major or a Minor Version, provide a Comment (if necessary), and check whether or not the document Is Docx (a Word document). Click Submit to finalize.
Open the Email Template Library app to see all of the different email template types available, along with the Last Actor and other information. Use the check boxes and the drop-down Actions menu to Delete a document type. Click on any of the templates to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create an Email Template. Here, you'll have to fill in:
- The Email Template Name (this is required)
- The Subject
- The Body of the email (use the formatting tools at the top of the bar to add more detail)
- More Fields (if necessary, click on the check box to enable it); you can detail the From Name, From Address, Reply to Name, and Reply To Address
- Click the Require Document Attachment to require a document with the email template
You'll also see a Suggested Fields section where you can copy/paste fields (like [[sender_name]], for example) to populate within the body text or subject line.
Click Submit to finalize the template.
Open the Legal Entities app to see all of the different legal entities your organization may do business as available to be associated with contracts, along with the Address, City, State or Region, and other information. Click on any of the legal entities to edit them individually.
Clicking Add Legal Entity on the blue Plus menu will allow you to create a new Legal Entity. Here, you'll have to add:
- The Legal Entity Name
- The Parent Entity
- The Address
- The Address 2 (if necessary)
- The City
- The State or Region
- The Postal Code
- The Country (from a drop-down menu)
- The Country Code (from a drop-down menu)
- The Phone number
Click Submit to finalize.
Open the Legal Services Requests app to create a new, simple request for legal assistance or see all of the different legal service requests in progress, along with the Last Action, Last Activity, Elapsed Days, and other information.
Clicking Add Legal Entity on the blue Plus menu will allow you to create a new Legal Service Request. Here, you'll have to add:
- A Request Name
- What I need Help with (from the drop-down menu)
- When the request is Needed by
- Any Details
- An Attachment (if necessary)
Click Submit to finalize the Request.
The Obligation Library app stores all obligation records which may be associated with a contract. Open it to create a record or see all of the different obligations in progress, along with the Short Description, Recurrence, and other information. Use the check boxes and the drop-down Actions menu to Delete an obligation. Click on any of the obligations to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create a new Obligation. Here, you'll have to add the:
- Name
- Obligation Type (from the drop-down menu)
- a Short Description
- any Recurrence (from the drop-down menu)
- any Related Clause (from the drop-down menu)C
Open the Obligation Types app to see all of the different obligation types across contracts in progress, along with the Short Description, Recurrence, and other information. Use the check boxes and the drop-down Actions menu to perform a Single Recalculation on the obligation; use the Import button to Download Spreadsheet for Create or Import for bulk uploads. Click on any of the obligation types to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create a new Obligation Type. Here, you'll have to add the Obligation Type and a Description.
Click Submit to finalize.
Open the Obligations app to see all of the different obligations across contracts in progress, along with the Short Description, Owner, Recurrence, and other information. Use the check boxes and the drop-down Actions menu to Delete, Manage Owner, or Mark Complete. Click on any of the obligations to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create a new Obligation. Here, you'll have to add:
- The Obligation Type (from a drop-down menu)
- A Short Description (if necessary)
- Any Recurrence (from a drop-down menu)
- The Due Date
- The Status (from a drop-down menu)
- The Clause (from a drop-down menu)
- The Party Responsible (from a drop-down menu)
- The Priority Level (from a drop-down menu)
- Any Attachment
Click Submit to finalize or click Submit and Create Another to finalize and create another obligation.
Open the Other Parties app to see all of the different parties your company transact with for contract management. Click on any of the parties to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create a new Other Party. Here, you'll have to add:
- Name of the Party
- Parent Party (from a drop-down menu)
- Address
- Address 2 (if necessary)
- City
- Postal Code
- Country (from a drop-down menu)
- Country Code (from a drop-down menu)
- Phone Number
- Contact Name
- Contact Email
- Contact Country Code (from a drop-down menu)
- Contact Phone
- Contact Type (from a drop-down menu)
You can also click the check box next to Do Not Delete to protect this party from deletion. Click Submit to finalize.
Open the Other Party Contacts app to see all of the different contacts associated with other parties, along with the Contract Type, Contact Email, and other information. Use the check boxes and the drop-down Actions menu to Bulk Delete or the Import drop-down menu to Download Spreadsheet for Create, Download Spreadsheet for Update, or Import Records. Click on any of the contacts to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create a new Other Party Contact. Here, you'll have to add:
- Other Party (from the drop-down menu)
- Contact Name
- Contact Email
- Country Code (from the drop-down menu)
- Contact Phone
- Contact Type (from the drop-down menu)
Click Submit to finalize.
The Precedent Settings app is a key app which manages integration between OnitX CLM and ReviewAI. Here you can set default AI checklists to be used for different intake workflows. These checklists will be applied by default if not specified in the Contract Types to AI Checklists app.
Once you're in the settings, click on Edit to adjust:
- AI Review URL (from the drop-down menu)
- Default 3rd Party Paper Review (from the drop-down menu)
- Default Executed Contract Review (from the drop-down menu)
The remaining fields will be filled in automatically.
Click Update to finalize. You can also update these three settings by clicking Launch on the blue Plus menu.
Repaper Project allows for bulk updating (repapering) contracts in the system. Clicking on the app will allow you to see the repaper projects in progress, along with their project type, 1st Workflow Action, and more information. Use the check boxes and the drop-down Actions menu to Delete a repaper project.
Clicking Launch on the blue Plus menu will allow you to create a new Repaper Project. Here, you'll have to add:
- Project Name (this is required)
- Project Type (from a drop-down menu; this is required)
- 1st Workflow Action (from a drop-down menu)
Click Submit to finalize.
Open the Subcategory app to see all of the different subcategories which can be associated with contracts, along with the Description and other information. Click on any of the subcategories to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create a new Subcategory. Here, you'll have to detail the Subcategory Name, Category (from a drop-down menu), and a Description.
Click Submit to finalize.
The Template Library app is the repository containing all template and clause records. Click on any of the templates or clauses to edit them individually.
Clicking Launch on the blue Plus menu will allow you to create a new Template. On this screen, you'll have to detail the:
- Template Name (this is required)
- Owner (from a drop-down menu)
- Template Type (from a drop-down menu; this is required)
- Contract Types (from a drop-down menu; this is required)
- Category (from a drop-down menu; this is required)
- Language (from a drop-down menu; this is required)
- Description
- Guidance
- Keywords
- Any Attachment
Click Submit to finalize.
Open the User Profiles app to see all of the different user profiles in the system, along with the User Email, Group Name, Last Login Date, and other information. Click on any of the Profiles to edit them individually. Use the check boxes and the drop-down Actions menu to Activate a User or Delete a Profile. Test
Clicking Add User Profile on the blue Plus menu will allow you to create a new User Profile. On this screen, you'll have to detail the:
- User Name (this is required)
- User Email (this is required)
- Country Code (from a drop-down menu)
- User Phone
- Group (from a drop-down menu; this is required)
- Language (from a drop-down menu; this is required)
- User Type
You can also click on the Is Tableau User? check box to indicate whether the individual is a Tableau user. However, a license must be in place with correct integration to view CLM reports in Tableau.
Click Save to finalize.

Activate Template - Legacy table join app related to template workflow. This app is not currently used.
AdobeSign - Container app storing AdobeSign transaction records.
AI Checklist - Container app storing all records for when ReviewAI checklists are processed.
Approver Metrics Details - Container app storied all records related to metadata which comprises approval metrics for contracts.
Bulk Repaper - Container app storing all records related to the contract repapering workflow in OnitX CLM.
Business Object - Transaction list provider app for Business Objects.
Clause History - Container app storing all details of clauses, document/document version where found, template generated from and other clause-related metadata.
Clause to Master Obligation - Table join app linking obligations and clauses.
Contract to Legal Entities - Table join app relating contracts and legal entities.
Contract to Other Parties - Table join app relating contracts and other parties.
Contract to Other Party Contacts - Table join app relating contracts and other party contacts.
Document Generation Test App - Legacy table join app with details of contracts and the templates from which it was generated. This app is not currently used.
Document Lock Status - Container app storing document lock status with the timestamp and user account which has the document locked with linkage back to the locked document.
Document Merge - Container app storing records of merged documents.
Document Return - Container app storing details of contracts returned from review.
Document Versions - Container app storing all discrete document versions in the OnitX CLM contract document repository.
DocuSign - Container app storing DocuSign transaction records.
DocuSign Messaging - Container app with messaging guidance to users when a signature transaction initiated in OnitX CLM has been sent through DocuSign.
Email - Container app storing email approval flow history.
Email Activity - Container app storing email activity history.
Email Sender - Container app storing standard email data like recipient and the document/document version sent via OnitX CLM.
Extract Details - Container app storing project data and status of an AI extraction project.
Extract Orchestrator - Container app storing details of an AI extraction project with its original request ID and any documents part of the project.
Extraction Projects - Table join app linking an AI extraction project with a unique identifier. This app is planned for future usage and not actively used currently.
Field History - Container app storing field-level data which has been set up to be tracked in Microsoft Word so that terms or numerical data in a contract is linked to a field in OnitX CLM.
Generate Document - Configuration app which regenerates the mapped contract template that's associated with the contract type and region.
Generate Supporting Document - Container app storing records related to document generation of supporting documents which can be part of a contract record.
Group Preferences - Configuration app for setting Group Preferences and how items will appear on a suite or dashboard.
Import 3rd Party Paper - Container app storing records which have been routed to the ReviewAI service via the Import 3rd Party Paper workflow.
Phase Metrics - Containers - Container app storing records of multiple phases a contract has gone through.
Phase Metrics - Details - Container app storing records with pertinent contract details when it was in a certain phase.
Phase Metrics - Phase Containers - Container app storing instances of contracts moving through phases.
Precedent Field Mapping - Configuration app for extracting data via AI with mapped fields from CLM to the ReviewAI service.
Reconcile - Container app storing records related to contract reconciliations.
Registration - Configuration app storing the API key to the ReviewAI service.
Relate Contracts - Table join app containing links between contracts.
Relate Other Parties - Table join app containing links between Other Parties.
Report Builder - Not used in current CLM builds.
Send for Signature - Container app storing records which are part of a contract signature workflow.
Store Executed Contract - Container app storing records which have been routed to the ReviewAI service via Store Executed Contract workflow.
Submit AI Review - Container app storing records which have been routed to the ReviewAI service via the CLM launch form or manual execution of an AI workflow via the Submit AI Review button on a CLM record (atom).
Violations to Other Parties - Table join app containing links between Violations found via ReviewAI and Other Parties.
Word Add-in Configuration - Configuration app for the CLM Word Add-in dictating which apps like CLM and the Template Library interact with the add-in.
Word Addin Key Value Settings - Configuration app for the CLM Word Add-in containing settings to determine how the add-in manipulates contract records and templates.
