Duplication Checks for Invoices & Line Items

Customers can now enable validation checks to automatically flag invoices and/or individual line items as potential duplicates based on specific matching criteria from historical invoice data to avoid overpayment and save reviewers time.

If an invoice meets all duplication criteria (e.g., same matter, vendor, invoice amount/currency, and select line item details), users can click See Details from the invoice's verification window to view the list of matching invoices and open them for further review.

If an individual line item on an invoice meets all duplication criteria (e.g., same matter, vendor, line item billed total/currency, line item type, timekeeper name, and task/activity/expense code), it is flagged with a duplication icon.

Users can open the line item adjustment modal and click See Details to view the list of matching line items and their details in table format. To further review the invoices and determine next steps, click on an invoice number from the list.

Duplication checks are turned off by default for all customers and can be managed by SimpleLegal Admins under Invoice Settings > Preferences. The invoice and line item duplication checks are separate settings and optional.

CounselMatch for SimpleLegal

SimpleLegal Admins can now use CounselMatch, our embedded integration to Leopard Solutions' PROWESS platform. CounselMatch makes it easier to find, evaluate, and engage qualified vendors with access to 400,000+ attorneys and 5,800 firms. Admins can access this tool by clicking the CounselMatch button from the vendors list page.

Automated Daily Timekeeper Rate Email Digest for Timekeepers

Vendors now receive an automated Timekeeper Daily Digest email every 24 hours when the status of one or more submitted rates is modified. If the status of the same rate is modified more than once in a 24-hour period, the most recent status is displayed in the email. The email displays the number of rates in each status and the list of modified rates/timekeepers for reference.

NOTE: SimpleLegal Admins can still manually send an email notification for a specific batch by using the Send Notification button in the top-right corner of the batch details page.

Issues Resolved

  • If a user clicks on the URL from the pending timekeeper email notification after approving/rejecting the rates in the batch, they are now taken to the batch details page under Rate Review > Completed Batches.
  • After creating a vendor contact with CounselGO access using the Contacts POST API call, users can now edit/delete the contact or resend the invitation from the Assigned Contacts section of the vendor record.
  • We resolved an issue that was causing submitted invoices to remain in Processing status for some customers with the Timekeeper Classification Validation custom setting enabled.
  • When the Reject Invalid Timekeepers custom setting is turned on, invoices are no longer rejected if the Effective Date for an approved timekeeper rate is the same as the line item Worked Date.
  • Invoice Review Rules that use the condition Matter > CustomAttributeListName-ID > IS NOT > {value} are also now triggered if the list value on incoming invoices is null/blank as expected.
  • If the CounselGO user submits a timekeeper rate with a Billed Rate and/or Rack Rate of 0.00, the value is now reflected in the following areas of SimpleLegal: Batch Details, Send Notification Window, CSV File, and Timekeeper Profile (instead of appearing as null/----).
  • Actions for Invoice Validation Rules that use the condition Matter > ConditionListAttributeName-CODE > IS EMPTY now trigger as expected.
  • Pending matter-specific timekeeper rates are now only moved to the historical rates section of timekeeper profiles in SimpleLegal when they are approved or rejected.
  • We resolved an issue impacting environments that have the Auto-Adjust Invalid Timekeeper Rate custom setting enabled and any custom Invoice Validation Rule thats that flag late line items. When adjustment is triggered due to an invalid rate, the invoice shows Invalid Timekeeper Rate as the adjustment reason instead of Late Time where applicable.
  • We resolved an issue that was causing users to receive a 500 error message when clicking on the Invoice Summary button of an invoice associated with an approved internal budget with an amount of 0.
  • We resolved an issue that was causing admins to receive a 500 error message after approving a timekeeper rate with a value of 0 and attempting to open the timekeeper's profile.
  • A record type can now only be removed from the Scope of a custom attribute when the values on associated records have been updated to None/Null. Admins are now shown an error message.
  • We resolved an issue that was causing submitted invoices to remain in Processing status for some customers due to supported special characters (e.g., %) appearing in values for custom attribute fields.
  • When an internal budget is archived, the Budget Health email notification is no longer sent to users designated on the associated matter if the budget is over its amount.
  • We resolved an issue that was preventing the History tab in timekeeper profiles from loading for some customers.
  • We resolved an issue that was causing some users to receive an error message when attempting to assign the Matter File Sharing and Vendor File Sharing roles to existing vendor contacts with CounselGO Access.
  • We resolved an issue that was extending the expiration/due date of the accruals reporting period for some customers.
  • We resolved an issue that was causing some customers to receive a timeout error for invoices with higher volumes of line items.

Enhancements

Accruals on Matters (available in Late November 2025)

To provide better insights into expected spend for matters, submitted accruals can now be viewed directly from matter records for the past four reporting periods by going to the new Accruals tab. This is helpful for customers who have the same vendor(s) working across multiple matters and do not get as much value from viewing accruals grouped by vendor only.

NOTE: This is a setting available to customers on the Signature Spend Management plan currently using our Accruals Management feature. To have this enabled, contact [email protected].

Consolidated Budgets List Updates (Budget Requests Feature Required)

Bulk Actions for External Budgets

When using the Bulk Actions option to edit budgets from Draft or Approved tabs of the consolidated list page, the fields for Internal Approvers and CounselGO Collaborators now appear if the selected external budgets are assigned to the same matter and vendor.

Notification for Internal Approvers Assigned in Bulk

When Internal Approvers are assigned to external budgets using the Bulk Actions option, they now receive the Newe Budget Email Notification for budgets in draft or approved statuses.

Issues Resolved

  • For customers with the Budget Requests feature:
    • We resolved some issues with the bulk actions window for the consolidated budgets list view, including enforcing the 250-character limit for the Description field of internal/external budgets and updating the Vendor field to only show assigned vendors if a matter is selected on the form for internal budgets.
    • We resolved an issue that was preventing users from updating the Internal Approvers and/or CounselGO Collaborators fields of external budgets if only one user was assigned.
    • Users can now sort the consolidated budgets list by the following columns in ascending/descending order: Matter, Vendor, Matter Group, Cost Code, and Amount.
    • Custom labels for Matter Group(s) and Cost Code(s) are now accurately reflected in the column names and filters on the consolidated budgets list page and when viewing an internal budget record.
    • When creating a Budget Request, the calendar picker for the Due Date field no longer displays past dates as options.
    • When creating a quarterly internal or external budget, the Quarter Year field on the form is now accepts only four integer values. Prior to this fix, users were able to enter additional values and were receiving a 500 error message upon submission.
