Invoice "New View" Redesign
Client Reported Challenges in the Invoice Section that are all addressed in the Redesign:
- Invoice information was broken up into colored boxes representing different invoice sections, but users stated important data in the Fee and Expense Line Item sections was challenging to find and required a lot of vertical scrolling
- Task Codes/Activity Codes were also hard to find in the Fee section
- Limited space to view the information in the Line Item Description field section
- No Line Item section custom columns
- No Line Item Commenting functionality
- Error messaging display with verbiage was ambiguous
- Adjustment message display was jarring to users
- In the Vendors section, the invoice spend totals were displayed along with spend across vendors
- In the Matter section, the invoice spend totals were displayed along with spend across matters

- Unclear that users could click on the box to display this section
- Hidden functionality
- Users were unclear about what the Spend data displayed meant
Invoice New View
“New View” Invoice Review Redesign
- Invoice Redesign design now displays the invoice data in an easy-to-review layout with
- Full View screen expansion
- Expandable/Collapsible tabs
- Show/Hide feature on Invoice Summary Notes section and Line Item Description fields
- Organized display via layout of tabs
- Easy-to-read and appropriate coloring of warnings, adjustment, and screen messages
- Maintains feature parity
Review the Invoice in Full View
- Users are now able to expand the invoice display to be a full view of the screen
- This feature allows for easy review and analysis
Invoice-Level Features
- Users can see the invoice name, invoice number, and invoice status
- Statuses are now translatable to foreign languages
- Users can Send Comments to the Vendor, Email PDF, and Download the Excel version of the invoice
Invoice-Level Adjustments
- Users can make adjustments across the entire invoice by filling out the pop-up window
- Users can Adjust By a certain amount or by a percentage relative to Fees or Expenses
- The adjustment amount will be reflected in the Invoice Summary section under the “Fee Adjustments” or “Expense Adjustments” fields


Invoice-Level Currency
Users are able to choose a Currency to apply across the entire invoice.

Post Comments to the Vendor
- Users can send and receive comments to and from the vendor
- When a comment is posted successfully, the Message received by Vendor screen message is displayed.
- When a comment is posted unsuccessfully, the Message failed to send screen message is displayed.

Invoice Summary Section
Invoice summary information now displays in 3 sections:
- Vendor and invoice dates on the left side
- Fee Arrangement and Spend Totals in the middle
- Billed Fees and Expenses, Adjustments and Totals on the right side

Matter Tab
This tab displays all tangential matter information pertaining to the invoice.

Vendors Tab
This tab displays all tangential vendor information pertaining to the invoice.

Invoice Alerts
Displays System Alerts and Warning messages as triggered by the clients Billing Rules. Number of Alerts will be displayed in the header in red.
Invoice Attachments
- Displays the list of Invoice File Attachments
- Number of attachments will be displayed in the header in parentheses
- Ability to download attachment(s)
- Order of columns can be changed
Invoice-Level Adjustments
- Line Items that have adjustments are listed here and grouped by Adjustment Category
- Applied adjustments are displayed as bold
- Removed adjustments are greyed out
- Order of columns can be changed
Invoice-Level Discounts
- Discounts applied across the invoice are listed here
- Order of columns can be changed

Invoice-Level Taxes
- Taxes applied across the invoice are listed here
- Order of columns can be changed
Invoice Audit History
This tab displays all the previous updates made to the invoice in an easy-to-read layout.
Invoice Payment History
This tab display all necessary information related to the payment of the invoice.
Line Item Search
- Users can search line items through the tertiary tabs (Line Items tab through Expenses)
- Search results are highlighted in yellow based on search criteria with the screen notification of See below for search results showcasing the filtered line items as a result of the search
Filter Functionality
- Users are able to filter line items by categories such as Expenses, Tasks, Activities and Keywords
- Based on what the user checks, a filtered list of line items will display, along with the filtered totals at the bottom

Line Item Section
This tab displays the Fee line items and the Expense line items in their respective sections
- Table columns can be moved and sorted to user preference
- Users can expand all of the Description fields to see more information from the vendor
- The line item adjustments and taxes are displayed in this section but are called out explicitly in the Line Item Adjustments and Line Item Tax sections
- Fee totals and Expense totals are displayed in the Fee and Expense rows (when expanded/collapsed) and at the bottom of all of the line items in the section

Adding a Line Item Adjustment
To add an adjustment to a line item, check the checkbox to initiate the Adjustment popup on the right of the screen
- Users can Adjust (the line item) To or Adjust (the line item) By and can adjust the total amount, rate or unit
- The popup previews what the total rate, units and total line item amount would be if the adjustment is made
- There also are screen messages to prompt users if they try to make an adjustment without filling in any necessary fields

Removing a Line Item Adjustment
To remove an adjustment to a line item, check the checkbox and the Remove Adjustment button is displayed. The Adjustment popup on the right of the screen will also be displayed showing the details of the adjustment.

Line Item Alerts
- This tab is a filtered list of line items from the Line Items tab and only displays the line items that have warnings/alerts
- In the tab itself, the total number of Alerts is displayed in red (similar to Invoice-level Alerts)
- Messages are displayed in burnt orange color below the line item description with all other line item data also displayed (tax, adjustment, etc.)

Line Item Adjustments
- This tab is a filtered list of line items from the Line Items tab and only displays the line items that have had adjustments made to them
- Adjustments are displayed under the Adjustment columns along with the updated Total amount
- By clicking the checkbox(es), users can initiate the Adjustment workflow to add, edit or remove Adjustments to one or many line items

Line Item Taxes
- This tab is a filtered list of line items from the Line Items tab and only displays the line items that have had taxes applied to them
- Line item tax rate, tax code, and tax amount are displayed in-line along with the updated Total amount
Timekeeper Tab
This tab lists the line items by each Timekeeper
- Abbreviated to TK throughout the application
- Total number of Timekeepers are displayed and grouped in the Timekeepers tab along with the ability to expand/collapse the respective timekeeper line items
Tasks and Activities Tab
This tab lists the line items by Tasks and Activities Codes groupings
- Total number of Tasks and Activities are displayed and grouped in the Tasks and Activities tab along with the ability to expand/collapse the respective Task and Activities line items.

Expenses Tab
This tab lists the line items by Expense Code groupings
- Total number of Expenses are displayed and grouped in the Expenses tab along with the ability to expand/collapse the respective Expense line items
- Adjustments are displayed under the Adjustment columns along with the updated Total amount
- By clicking the checkbox(es), users can initiate the Adjustment workflow to add, edit, or remove Adjustments to one or many line items

Clearer Display of Data
A big issue with the former view was that key information seemed hidden or required a lot of scrolling.
Here are solutions to improve the display of information:
- Expand/collapse feature on each major row (Examples: Invoice row, Invoice Alerts row, Fees/Expenses rows under Line Item section)
- Expand/collapse of Description field
- Show More/Show Less feature

Coming Soon: Line Item Commenting
- Line Item commenting allows users to post comments to the vendor about a single line item
- This specificity will allow clarity and provide for greater efficiency in communicating with your firms
- This feature will be rolled out by the end of 2021

General Points
- The Invoice New View will be available as a new tab next to the existing tab in the client Invoice app; these subsections are collapsible, as well
- In the future, we will remove the old tab once users are accustomed to the New View and the added features and functionalities
- If there are further enhancements needed for the New View or for any other features, please let your Account or Customer Success Manager know to create a Product Request that will be reviewed by the Product Management team

Invoice Review Redesign FAQs
Question: When is this being released?
Answer: At the end of October (scheduled as of now for October 27th)
Question: What will change on that date regarding invoice review?
Answer: All invoice reviewers will still be directed to the current invoice review. That is, nothing will change for any invoice reviewers as a result of the release at the end of October (again as of now, scheduled for October 27th). Question: So what exactly is going to be different after then?
Answer: There will be a new tab in the Invoices app called New View available for ELM users who conduct invoice review. The user experience has improved, with less scrolling and better visualization, organization, and display of the line items to improve clients experience when reviewing invoices. With regards to performance, there is, on average, a 17% faster load time in Onit for larger invoices (over 200 line items) and a 22% faster load time for very large invoices (1500-2000 line items)
Question: What will be contained in the New View tab?
Answer: Clicking upon New View will navigate users to the new Invoice Review Redesign. While there will be feature parity between the two tabs, the New View tab will have the completely revamped user experience and user interface for reviewing invoices.
Question: Is there a way to restrict the new tab by client or by user?
Answer: No. Again, since nothing will change for any user come the end of October regarding the default way to review invoices, the New View tab will be available for all ELM users who conduct invoice review.
Question: Will there be any additional documentation available regarding what we will see with this New View?
Answer: Yes, this PDF file also compares and contrasts the current invoice review with the New View invoice review, detailing all of the screens with their functionalities, including any nuances.
Question: Will there be any other types of messaging contained within the product about this New View?
Answer: Yes, there will be a banner alert informing users of this New View tab when reviewing invoices in the current invoice review tab with this messaging: Review invoices faster with the New View! Select the New View tab to the right of the Invoice tab above to get started.
Question: What will happen to the current invoice review tab?
Answer: Nothing for now. In the future, the default invoice review will switch to the New View. There will be ample advanced communication about this change. And then, at another date in the future, again with plenty of advanced communication, the current invoice review tab will go away. At that point in time, all invoices will be conducted via the New View tab.
