Use the Matters menu to view, create, and edit matters.

Viewing Matters
The main Matters screen will display all the matters you can access.
Use the search button in the upper right-hand side of the screen to search for a specific matter.
The right-hand side menu allows you to directly filter by Commonly Used Matter Types, use Saved Filters, and use the full Filter.
Clicking on Commonly Used Matter Types will bring up this menu. You can choose from All matters, All active matters, and My matter approvals.

Clicking on Saved Filters will allow you to select saved filters, favorite filters (the Star icon), or delete (trash can) a filter.

Use the full Filter to search for specific matters. Click Reset Filter to reset the filter, Clear to clear your text, Save Filter to save the filter, or Filter to filter for the matters.
Click the Lock button to lock the screen.

Below that menu, you'll see the main Matters directory. Within this, you'll see (from left to right):
- A Status icon summarizing key activities
- The Name of the matter with a link to the Matter information page (more information on this here)
- The Staff with a link to their individual profile pages
- The Law firms with a link to their individual profile pages
- The Budget
- The Cost level
- An Options menu. Note that these icons will change depending on the status of the matter.
Within the Options menu, you can:
- Get more information on the matter by going directly to the matter profile page (more information on that here)
- Edit the matter settings (more information on that here)
- Approve the matter and budget. Note that this will bring you to the Settings section; from there, you can Reject or Approve as necessary (more information on that here)
- Update the dynamic form. You can update the General matter information or Litigation. Click Update to update the text.
- Block the matter. Note that if you select this option, this warning screen will appear letting you know that if you block this matter all lawyers assigned to it will be notified and you will not be able to track any more time on it. Click Yes to block the matter or No to back out.

- Delete the matter. Note that if you select this option, you'll get another warning message. Click Yes, delete to delete or No, do not delete to back out.

- Copy the matter. Note that this will copy the matter elements into a create new matter screen.
- Archive the matter. Note that you'll get a warning message alerting you that if you archive this matter you will prevent all lawyers from submitting time entries. Click Yes to archive the matter or No to back out.

- Release the matter. If you choose this option, you'll get a warning message. Click Yes to release the matter or No to back out.

Working With the Matter Profile
When you click on a matter, you'll be taken the Matter profile. You'll see 10 different tabs across the top: Details, Time entries, Expenses, Invoices, Documents, Legal analytics, Calendar, Forecast, Risk calculation, and Settings.
We'll break them down here.
Details
The Details page will show you basic information about the matter.
Here, you'll see:
- Matter information, including a Budget graph (if applicable), Created by, Activation date, Matter type, Observer, and links to the Responsible contact persons (law firm)

Note that this section will also contain other information depending on the matter status.
- An Activity stream showing important events in the matter history; you can choose to filter by Matters, Invoices, Hours, Expenses, and/or Documents. Click the Refresh button to refresh the screen.

- A chart showing Accumulated Costs and Costs Per Day; use the drop-down menus at the bottom to customize your views and the side selection menu to Export data.
- The Status, detailing Fees, Expenses, Invoiced, Credit + Reimbursement notes, Total costs, Budget, and Utilization
- The matter Lawyers, with links to their Name (profile) and the Law firm, their Classification, Hourly Rate, and Approved hourly rate, a mark to alert you if they are a Contact person, and the Options menu.
Note that if you click on Block, this warning will pop up letting you know that if you block this lawyer he or she will not be able to track any more time. Click Yes to block or No to back out.

- Engaged Law Firms, with link to their Name (law firm profiles) and Options to delete (trash can) or Block the law firm.
Note that if you click on Block, this warning will pop up. Click Block Law Firm to block or Close to back out.

- Billing information, including Scope, Billing Practice, Interval, Billing cycle, Next invoice, Alternative fee arrangement, Amount, and Expenses
- Litigation information

Time entries
Use the Time Entries tab to view, edit, and submit time entries for a matter.
The upper-right hand menu will allow you to:
- Filter by common needs (All of active matters, New time entries, My time entries to be accepted, unanswered questions, and archived line items)

- Export the data (you can choose from CSV or Excel)
- Bring up the advanced Filter; click Clear to clear the input, Save Filter to save the filter, or Filter to filter the information. Select the Lock icon on the top of the screen to lock the screen.


- View the calculated Amounts. Select the Lock icon on the top of the screen to lock the screen.


On the main Time entries directory, you'll see:
- A time Status icon on the far right, representing the stage of the process the entry is in
- Details, including Date, Entered time, Lawyer, and Law firm
- Duration/Amount, including Duration, Amount, and Hourly rate
- Activity code and Narrative
- An Options menu (note that these options will change based upon the status of the entry)
Use the Options menu to:
- Accept the time entry

- Reject the time entry. Fill out the Reason and click Send to send in or Cancel to back out. Note that lawyers will be informed about the fact that they were rejected; the underlying reason will be visible for any lawyer.
- Ask a Question about the time entry. Note that if you select this option, you'll have to fill in Your question and choose who the question should be Visible for (Lawyer, Project manager - law firm, or Lawyer and project manager - law firm). Click Send to send in or Cancel to back out.
- Add in a Note. Note that if you select this option, you'll have to fill in your Note and choose who the note should be Visible for (Internal staff or law firm). Click Send to send in or Cancel to back out. Click Send to send in or Cancel to back out.
- Adjust or Archive the time entry. Note that you can see the entry Status at the bottom of the Options screen.

Expenses
Use the Expenses tab to view, edit, and create invoices on a matter.
The upper-right hand menu will allow you to:
- Filter by common needs (All of active matters, New expenses, My expenses to be accepted, unanswered questions, and archived line items)

- Export the data (you can choose from CSV or Excel
- Bring up the advanced Filter; click Clear to clear the input, Save Filter to save the filter, or Filter to filter the information. Select the Lock icon on the top of the screen to lock the screen.

- View the calculated Amounts. Select the Lock icon on the top of the screen to lock the screen.

On the main Expenses directory, you'll see:
- Details, including Created at, Lawyer, Law firm, and a link to the Invoice number
- Amount
- Expenses information, including Expense type, date, and description
- An Options menu (note that these options will change based upon the status of the expense)
Use the Options menu to:
- Accept the time entry

- Reject the time entry. Fill out the Reason and click Send to send in or Cancel to back out. Note that lawyers will be informed about the fact that they were rejected; the underlying reason will be visible for any lawyer.

- Archive the expense.

Invoices
Use the Invoices screen to view, edit, and submit invoices.
Note that when you open the Invoices screen, the Filters / Amounts / Insights menu will appear on the right side of the screen. Here, you can:
- View key Insights into paginated invoices; you can view Invoice by TK Classifications (Time entries, Expenses) and Invoice by Spend Categories (Time entries, Expenses). Click into each chart for an interactive breakdown. Click the Bullseye at the top of each chart for a detailed breakdown. Click the Lock icon at the top of the screen to lock the screen.

- View the Amounts spent. Click the Lock icon at the top of the screen to lock the screen. Click on View advanced details to go to the Insights tab.

- Use the Filters tab to filter By Invoice, By Responsible Person, By Matter, By Status, and/or By Note/Question. Click Clear to clear your input, Save Filter to save the filter, or Filter to filter the data. Click the Lock icon at the top of the screen to lock the screen.

The upper-right hand menu will allow you to:
- View the Insights (see above for details)

- Filter by common needs (All invoices, My invoices, My actions, Unanswered questions, Includes notes, and Includes internal details)

- Apply Saved filters. Use the Circle selection to select, Star to favorite, or Delete (trash can) to remove.

- Export the data. You can choose between CSV and Excel.
- View the Filter or Amounts. See above for details.

On the main Invoices directory, you'll see:
- An Show/Hide icon that will display detailed invoice information when toggled.
- ID
- Submission date
- Matter(s)
- Law firm
- Source
- Amount, with a series of status updates (red/green circles, an Alert icon if there are differences between the amounts actually invoiced and the amounts previously submitted in the form of WIP information.
- Status, with a Status bar and icon showing how far along in the process the invoice is (Reviewed, Released, Approved, Cancelled)
- An Options bar
- A Show/Hide drop-arrow that will also display the detailed invoice information when toggled.
Use the arrows next to each category to sort by them.
Opening the Show/Hide icons to display detailed invoice information will bring up this screen.
On this screen, you can:
- Open the History of the invoice
- View the Period, Amount, Non billable (resulting from the billing rules stored in eBilling.Space), and Variance (difference between the amounts actually invoiced and the amounts previously submitted in the form of WIP information)
- Invoice date, matter(s), and description
- Law firm and recipient
- Created by, Creation date, and source
Use the Options menu to:
- Release the invoice

- Undo the action

- Reject the invoice. Fill out the Reason and click Send to send in or Cancel to back out. Note that the explanation will be displayed to the project manager of the relevant law firm.
- Edit the invoice. You'll have to edit the ID no. and Internal details. Click Send to send in or Cancel to back out.
- Ask a Question about the invoice. Note that if you select this option, you'll have to fill in Your question and choose who the question should be Visible for (Lawyer, Project manager - law firm, or Lawyer and project manager - law firm). Click Send to send in or Cancel to back out.
- Export the data. A preview of the exported invoice will pop up; you can choose to export in PDF or CXML versions.
- Add in a Note. Note that if you select this option, you'll have to fill in your Note and choose who the note should be Visible for (Internal staff or law firm). Click Send to send in or Cancel to back out. Click Send to send in or Cancel to back out.
Documents
Use the Documents tab to upload documents to the Matter. Choose the File, add in a Description (if necessary), and choose the Visibility (General visibility, In-house only, Law firm only). Click Upload to upload the document.
Legal analytics
Use the Legal analytics tab to view helpful charts and graphs on the data within matters.
You can use the Filter to choose the type of charts you'd like to display. Within the filter, you can choose from:
- The Time Period (drop-down menu)
- The Law firm
- The Lawyers
- The Post qualification experience (drop-down menu)
- The Position (drop-down menu)
Clicking on Show additional filter settings will allow you to filter with:
- Task (select / click select menu)
- Workflow status (drop-down menu)
- Cost center
Click Filter to filter or Clear to clear your input. You can also click the Star in the top-right corner to save your filter.
You'll see the resulting charts (with interactive capabilities) below the filter.
Calendar
You can use the Calendar to view important upcoming events within eBilling.Space.
Use the <> arrows to toggle between months and the month and list buttons to toggle between month and list views.
Click on Add to add a new event onto the calendar.
When you click on Add, this screen will pop up. You'll have to:
- Add the Subject (required)
- Add the Start date, Start time, End date, and End time, or check the box to use the All day option
- Check off whether it is a Task or not; if you check off Task, the All day, End date, and End time options will disappear
- Choose the Visibility (internal or all-company and law firm) from the drop-down menu
Click Add to add the event or Cancel to back out.
NOTE: The following two modules - Forecast and Risk - are optional modules.
Forecast
Use the Forecast section to see details on the different matter forecasts. On this screen you'll be able to see:
- General information (Forecast type, Requested cost estimate, Period)
- Details, Current Amount, Cost prediction from law firm, and Our cost estimate
- Under Options you can click the up/down arrows to toggle Detailed Information (Fees and Expenses), Edit the forecast, or Lock the forecast.
Below the Details you can see a chart of the Cost Forecast.
Once you click the Edit button on a forecast, the Submit Your Forecast screen will appear. Fill in the Fees and Expenses for the From and Up to columns (both are required) and click Submit Your Forecast to update.
Risk calculation
Use the Risk calculation section to determine the matter risk.
Under the Calculation status section, you can mark the status as done.
Under the Calculation of interest on principal claim, you'll have to fill out:
- The Effective primary claim made (required)
- The Separate premium (if applicable)
- The Beginning of continuing interest (if applicable, estimated date for third-party notice), Until, and Number of days
- The Base rate, or stipulated fixed interest rate to be earned
- Whether the Base rate will be applied (check box)
- The Interest (on deposit and premium) and Deposit + premium (if applicable) + interest
Under Calculation of additional interest on past periods, you'll have to fill out:
- The Interest accruing amount (estimate if unknown)
- The Interest start date
- The Interest end date
- The Number of days - Stipulated fixed interest rate and Interest (on amount due)
Under Calculation of continuing interest on secondary claim, you'll have to fill out:
- The Legal fees + calculated interest (if applicable)
- The Period from, Until, Number of Days, and Interest rate
- If the Base rate will be applied (check box), along with the Interest (on legal fees) and Legal fees + interest
Under Gross risk, you'll see:
- The Lump-sum trial fees (10% value of claim)
- The Gross risk
Under Insurance period, you'll see:
- The Insurance begin date
- The Insurance end date
- The Previous payments made
Click Save to finalize the Risk calculation.
Settings
Under Settings, you may see a yellow bar at the top of the screen providing some brief matter information.
Under the General matter information, you'll have to fill in the:
- Matter name (required)
- Related Matter
- Hierarchy (drop-down menu)
- PO number
- Product number
- Subsidiaries (drop-down menu)
- Matter status (drop-down menu)
- Matter Type (drop-down menu, required)
- Jurisdiction (drop-down menu)
- Matter description (and check the box below that field to note if this Matter description should be visible for law firms)
You can also click on Add Category or Remove Category and Add Jurisdiction to add additional fields to the General matter information section.
Under the Dynamic sub form, you can pick out what form you'd like to add to the settings from the drop-down menu.
Under the Litigation section, you'll have to:
- Choose the Internal Legal Entity/Group Company/Division (select/click-select)
- Fill in the Number
- Choose the Multiselect Dropdown (select/click-select)
- Fill in the Governing law (if different from jurisdiction); this is only required if differing from the general jurisdiction
- Fill in the Court or authority of current instance (note that ADR stands for a Alternative Dispute Resolution)
- Choose the Role of the groups legal entity (Claimant or Defendant) and the Counterpart
- Select whether this is an a Pending Active or Passive Dispute
- Fill in the Total Dispute Value (in EUR; without judicial interest, but including contractual default interest currently claimed)
- Fill in the Total Dispute Value Breakdown - Claim (EUR)
- Fill in the Total Dispute Value Breakdown - Counterclaim (EUR)
- Fill in the External Law Firm for Counterpart
- Fill in the Description
- Fill in the Total budget (EUR) (forecast) - this is for legal costs (lawyers, exports, court fees)
- Fill in the Legal Cost already incurred (EUR) - Personnel/Travel/Accommodation
- Fill in the Legal Costs already incurred (EUR) - External Experts
- Fill in the Legal Costs already incurred (EUR) - Court
- Fill in the Legal Costs already incurred (EUR) - Internal Costs
- Fill in the Legal Costs already incurred (EUR) - Others
- Select the Traffic Light (Green - as expected), Yellow - development contrary to original expectation, Red - risk likely to occur)
- Fill in the File reference
Under Additional information, you can select the Matter status from the drop-down menu.
Under the Internal matter responsibility section, you'll have to select:
- The Responsible department (drop-down menu)
- The Account assignment (drop-down menu)
- The Cost center (drop-down menu)
- The Cost allocation (percentage)
- The Matter Staff and their Role; you can also use the check box to mark if you want to Add as a contact person
Use the Add cost center and Add staff buttons to add more fields to this section.
Under Responsible staff members, you'll see the current responsible staff member (Name), their Role in this matter, if they are a Contact person, and - under Options - the option to Delete this person.
You can fill in the Group Assignment and any Comments. Click on the Invite Staff button to add more people to this matter.
Under Law firms, you can see the law firms and lawyers assigned to the matter and either add an existing lawyer to the matter or invite another lawyer in from an external firm.
With the top Filter, you can search by Law firms, Lawyers, and Show function (Timekeepers and/or Legal support). Click on Add Lawyer to add another lawyer to the matter (more information on that here)
The Lawyers section will show you:
- The Name of the lawyer (and a link to their profile)
- Their Function
- The Law firm
- The Location
- The Hourly rate (law firm), and a link to open & edit if applicable
- The Hourly rate (matter level), and a link to edit if applicable
- Whether they are a Contact person or not
- Under Options, the ability to Block a lawyer; note that if you click on this, you'll get a message saying that if you block this lawyer, they will not be able to track any more time. Click Yes to block or No to back out.
- The button to Invite a Lawyer to the matter

Under Activity Codes, you can select specific activity codes to Accept or Reject (or choose to Accept/reject all activity codes), mark them as Non-Billable, and choose the Partially billable percentage for each from a drop-down menu. Use the Add Activity field to add activity codes.
Under Billing information, you can select:
- Billing Practice (required, drop-down menu)
- Currency (drop-down menu)
- Billing cycle (drop-down menu)
- Alternative fee arrangement (drop-down menu)
- Expenses (drop-down menu)
- Scope
Click on Add billing information to add the billing information to the matter.
You can also choose the Alternative Fee Arrangement in the drop-down menu under Prepared Billing Information. Click Filter to filter or Clear to clear your input.
Under Budget settings, you can detail:
- The Matter budget
- The Matter currency (drop-down menu)
- The Period (drop-down menu)
- Alerts for threshold settings; you can set the Value, Value type (drop-down menu), whether you want a Repeat, and the Recipient
- Whether Expenses are included in the matter budget and/or Invoices are included in the matter budget
Under Special matter settings, you can choose if you want to:
- Set maximum number of lawyers; if you choose this option, you'll have to select the maximum number from the drop-down menu and choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers)

- Set permitted lawyers by name; if you choose this option, you'll have to select the Lawyers for whitelist and choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers)

- Set minimum PQE for lawyers; if you choose this option, you'll have to select the minimum PQE from the drop-down menu and choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers)

- Restrict permitted transmission period for time entries; if you choose this option, you'll have to select the transmission period from the drop-down menu and choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers)

Apply special rates to matter (special agreement / deviation from framework agreement); if you choose this option, you'll have to click the checkbox if you want Special rates on position level overwrite law firm hourly rates for this matter. From there, you'll have to fill in the various rates for different levels. Click Add if you want to add more rates; you can also add Specific hourly rates by lawyer (and Add more options if necessary).
You'll also have to choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers).
- Restrict maximum number of hours per day; if you choose this option, you'll have to select the number of hours from the drop-down menu, choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers), and mark if you want to Ignore travel times duration.

- Set Minimum number of words per narrative; if you choose this option, you'll have to select the number of words from the drop-down menu and choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers).

- Set Minimum duration for time entries; if you choose this option, you'll have to select the duration from the drop-down menu and choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers).

- Limit amounts per expense item; if you choose this option, you'll have to select/click select the Expense type and amount and choose the Consequence of non-compliance (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers).

- Enable block billing detection; if you choose this option, you'll have to choose the time limit from the drop-down menu and amount and choose the Consequence of detection (Flag line item, reject line item as non-billable, notify project manager - inhouse, and notify project manager - lawyers).

- Set RVG validation settings (only active when RVG is activated)

- Choose if you want to Change the invoice status after recording; if you check this box, you'll have to select the status from the drop-down menu

Choose if you want an Alert about matter status; if so, choose the cadence from the drop-down menu.

Under Forecast, you can choose if you want to Require a Forecast. If so, you'll have to fill out:
- Forecast type (drop-down menu)
- Requested staffing plan (drop-down menu)
- Requested cost estimate (drop-down menu)
- Period (drop-down menu) and Start date
- Whether to Request own forecasts (Yes, with a reminder, Yes, without a reminder, No default)
- The Scope
- The Law firms (select / click-select)
Click Add to add the forecast.
Under Accruals, you can choose if you want to Create an Accrual. If so, you'll have to fill out:
- The Period (drop-down menu)
- Whether to Restrict permitted transmission period for accruals (drop-down menu); you can choose to Flag accrual or Reject accrual as non billable with the check boxes
- The Scope
Click Add to add the accrual.
At the bottom of the page, you can click Save to save the entry, Reject to reject the entry, or Approve to approve the entry.
Create Matter
Click on Create Matter to create a new matter.

Under General matter information, fill out the:
- Matter name (required)
- Related matter
- Hierarchy (drop-down menu)
- PO number
- Product number
- Subsidiaries (drop-down menu)
- Matter status (drop-down menu)
- Matter type (required, drop-down menu)
Clicking on Add matter details will bring up further details to fill in. You can:
- Add a category
- Select Jurisdiction (drop-down menu) or Add jurisdiction
- Add in a Matter description; click the check box to select if the Matter description should be visible for law firms
See the Settings section to learn about the other Matter details you can fill in on this stage. Once you're done filling in the information, click Create matter to create the matter.
