Onit's CLM Contract Process: Using the CLM Dashboard

Once you process a contract through Salesforce, the contract will immediately move into Onit's Contract Lifecycle Management (CLM) platform.

This is the critical "next stage" to get the contract through the approvals process. It is your responsibility to monitor the contract through the CLM process and respond to contract-related responsibilities. 

The CLM dashboard is your home page for this process. Here, we'll walk you through the basics of the dashboard and what you need to know about the process. 

NOTE: DO NOT just rely on email notifications for your contract responsibilities. Bookmark the home page to your CLM screen and check in on progress and your responsibilities at least once a day. 

Accessing the Dashboard

On your Apps page, click on the Contract Lifecycle Manager icon and then on Dashboard. You can also click on the Contract Lifecycle Manager link on the left-hand side Apps list. 

NOTE: Be sure to bookmark the Apps screen and the direct CLM dashboard link.

NOTE: Contact the Onit support team if you're having trouble accessing your CLM home screen.

The Dashboard Layout

The Dashboard layout is divided into two sections:

  • Quick-link tiles that will take you directly to contracts of that specific type (Pending Legal Review, Pending Business Approval, etc.)
  • A Metrics section that shows quick insights and recent contract activity.

Here's what you need to know about these two sections:

Each tile will include the number of contracts with that specific designation. Clicking on View Details in each tile will take you to a list of those individual contracts.

The quick links tiles include:

  • Pending Legal Review. These are contracts that still need to be reviewed by the Onit's legal department.
  • Pending Business Approval. These are contracts that still need be reviewed by Onit's business department.
  • Past Expiration. These are contracts that are past their expiration date. Note that some of these contracts will naturally terminate; however, many will expire because they need a renewal. Those contracts may require action on your part.
  • In PS Scope, In PS Approval, and Pending PS Review. These are contracts that need scope, approval, and review from Professional Services.
  • Contracts in Process. These are all of the contracts in process (covering approval, validation, signatures, etc.)
  • Pending Internal Approval. This is the most important tile for Sales personnel. These are contracts that will likely require action from you or another stakeholder in order to move forward. If you see a number here, you need to click on "View Details" and act on the contracts within.
  • Contracts in Pending Validation. These are for contracts that have yet to be reviewed by the Onit paralegal for a final legal approval.
  • Contracts in Signatures. These are contracts that are in the final signature process.
  • Pending Author Contract. These are contracts that are still being drafted by the author (you).

Metrics / Recently Updated Contracts

The bottom half of the page shows the Metrics and Recently Uploaded Contracts sections. Here, you'll see:

  • Recently Uploaded Contracts. Another important part of the page to those from Sales. These are contracts that have recent activity (either by you or other personnel); click on More to access those contracts.
  • Total Client Net New Subscription ARR by Month
  • Vendor Total Spend by Month
  • 3rd Party Paper by Template. Breaks down the percentage of contracts created by third parties or through Onit templates.
