Anything that needs a signature or modifies an existing contract MUST go into CLM.
Unlike in LSR, contract documents should not be loaded into the Activity feed. Instead, they are loaded in the Documents tab to the left.
You can add the contract document (i.e., the document to be signed) along with supporting documents (e.g., spreadsheets or other supporting docs that are not to be signed) when you create the CLM record from Salesforce, but you can also add documents using the More Actions | Add Document buttons.
This allows us to use CLM's Check In/Check Out features and track versions accurately.
On the right-hand side of the screen, go to More Actions and select Add Document.
Click on the Documents tab on the left-hand side of the screen. From there, click the file link on the Download column.
Click on the Documents tab to the left. Then, click on the file link in the Document Name column. Click on Check-out. Click on the Documents Versions tab. Click on the blue file name in the Download Link column. The file will save to your downloads folder. Work on the document and save it.
From the same screen where you checked out the doc, click on Check-in. Add the document to Document Attachment and then identify the version type. Select Major Version if the changes are many; select Minor Version if the changes are few. Add a comment, as needed, and click Submit. Click on the blue Contract Name at the bottom of the page to return to the CLM record.
There are four different document phases:
- Author Contract: Action pending on Opportunity Owner
- Internal Review: Action pending on Opportunity Owner
- Legal Review: Action pending on Legal Owner
- Business Approval: Action pending on the Manager or ELT
Click on one of the blue buttons on the right to move the Phase (e.g., Send to Legal; Send for Internal SE Review, Send for External Review, Send for PS Review, or Send for Authority Matrix Approval).
Legal Review
Until you select the Send to Legal button on the right side of the screen, the request for legal review is NOT sent to Legal. Once legal approves, the phase will change to Language Approved.
Business Approval
This phase is activated by requests for Authority Matrix Approval. You may also select Add Participant, enter your manager's name, and select the business approver.
**Select Send for Authority Matrix Approval for those nonstandard terms requiring ELT approval. See the Authority Matrix for a full description of those terms.
Your manager or ELT member will approve this phase once they verify that pricing, commercial terms, and any nonstandard legal terms are approved. **
The process for the fully executed agreement would be for the Opportunity Owner to add it to the Documents tab with a note to the legal owner, so the legal owner can review and manually change the phase to In Reconciliation.
- Edit the form, and at the bottom is a button for Wet Signature. Check that.
- Change the phase to Out for Other Party Signature.
- When it comes in, upload it to documents and change it to In Reconciliation.
[TEMPORARY FIX] Stasha is having them change the process/buttons so the business can do it themselves
You have not finished the DocuSign process. Please click Refresh Sender View URL to add the signing info and add both the client and Onit signers.
Legal has a bulk action button called Update Contract Type Flag that they can check, and this will allow the field to be edited. Then they need to select the CLM and run the Update Contract Type Flag again to re-lock the field.
If you get this error, you are not logged into support.onit.com. You need to log in first.
Upon receipt of a termination notice, create a CLM with the contract type Termination Notice. Legal should move these to In Reconciliation so that Rayne can update the correct Order/Agreement/etc.
