Using Search in OnitX CLM Word Add-In

To search for documents from the OnitX CLM Word Add-In in enter a keyword or name of the document in the search bar.

You can narrow your search by selecting Contract Lifecycle Management, Template Library, or Matter. You can scroll down to see all the records.

Creating a New Template

To create a new template from the OnitX CLM Word Add-In Add-in, select the plus sign at the bottom right corner and then select template library.

You will then be prompted to add in multiple fields.

Below is an example of the required fields filled out.

Checked in / Checked out (Locked)

If you want to prevent other users from checking in (i.e., saving) a new version of the same document while editing, click the Not Checked Out toggle to Check Out the document.

When a document is marked “Checked Out,” other users cannot upload a new version to Onit.

Once you edit a document, you can check it back into Onit. Click the Save icon underneath the home icon and the Save button in the OnitX CLM Word Add-In panel on the bottom right.

Save version (Major vs. Minor)

Choose whether you want to save the document as a major or minor change. A major change will increment the whole version number (e.g., 1.0 to 2.0), while a minor change will increment the decimal number (e.g., 1.0 to 1.1). Each major change will reset the decimal number to zero.

Add Comments

While working on the document, you can comment on any updates you make.

Add Fields

Once you have a document open, use the Word Add-in to set up the data in the Word document. Highlight the area where you want the field to be inserted.

Click Add Field.

Select Field Track.

Select the Field or Fields that you want to add into the document. 

See the example below of the effective date field inserted into the document.

The example below shows that the following fields have all been added, and the state will appear in bold.

{{contract_to_other_parties.first.state}}

{{ contract_to_other_parties.first.city}}

{{ contract_to_other_parties.first.country}}

Add Clauses

Click Clause Library.

All the clauses uploaded to the system will be displayed for you to select from.

Example: To put a Data Privacy clause at the bottom of the page, place the cursor there and select the Data Privacy clause.

What you have listed for Description and Guidance will appear. Then, click the Insert button at the bottom.

The Data Privacy Clause has now been inserted into the document.

Add Segments

Highlight the section you want to segment, then select Segment. The example below highlights 19. Waiver.

How to Use the Control Panel 

If you click on Control Panel, you can see all the Fields, Clauses, and Segments added to the document.

If you click on the first field listed, City-Contract to Other Partners, above, you will see where it was added to the document. The image below shows the City highlighted. 

Edit Properties

If you click on Control Panel, you can see all the Fields, Clauses, and Segments added to the document. You can click and edit properties for Fields, Clauses, and Segments.

Mark Clause as Tracked

For Clauses, in properties, you can mark the clause as Tracked. This ensures that all the changes made are being tracked in the system.

Mark Clause as Read-Only

You can mark it as Ready-Only. Once the document is generated and someone reviews it, it cannot be edited. 

Add Conditions

You can also add any Conditions. In the example below, the clause will only appear if the country is the United States.  

The same method of adding conditions can be applied to fields and segments. 

You can add additional field logic by selecting the button. 

Preview Function

The Preview function allows you to test the template against a contract in the system to see how the information will be displayed. Click the Preview template to preview the template.

You can then search for a record to test against.

Once you find the record to test against, select the latest version and click the Generate Preview button.

Wait a moment; then you can review the record for any formatting errors and make corrections.

Edit an Existing Template 

Open a new Word document, and log in to the Add-in. Search in your template library for the contract.

Select the latest version. 

The latest version of the document will open up.

The Onit Add-In features are all available to modify the existing template. The template must be saved as a new version.
